Terms & Conditions

These terms apply to all Kyoto Localized tours and experiences, including free walking tours, paid walking tours, food tours, e-bike tours, private tours, and craft experiences.

1. Free Tour Cancellations

If you can no longer join, please cancel using “Manage Booking” in your confirmation or day-before reminder email, or contact us by email as soon as possible so we can offer your spot to another guest.

No cancellation or no-show fees apply to free tours.

2. Paid & Private Tour Cancellations

Cancel at least 24 hours before the scheduled start time for a full refund. Cancellations made less than 24 hours before the start time and no-shows are non-refundable.

These conditions apply to all paid tours and experiences, including walking tours, food tours, e-bike tours, private tours, and craft experiences.

Please cancel using “Manage Booking” in your confirmation or reminder email, or contact us by email. For private tours, please cancel by email.

The cancellation time is when you complete the cancellation through “Manage Booking” or when we receive your email.

All times are in Japan Standard Time (JST).

For e-bike tours, the specific no-refund conditions in Section 11 apply as exceptions to the standard cancellation policy above.

3. Booking Amendments

Paid tours, private tours, and paid experiences generally cannot be rescheduled. Please submit any change requests through “Manage Booking” in your booking emails or contact us by email.

For private tours, please submit change requests by email.

4. Cancellations by Kyoto Localized

If we cancel your paid tour, private tour, or paid experience before it starts, you’ll receive a full refund. This includes cancellations due to natural disasters, severe weather, or transportation disruptions.

5. Transportation Disruptions

If a train or flight delay or cancellation prevents you from joining your tour or experience, please email us supporting evidence as soon as possible.

Once we’ve verified that the disruption prevented you from joining, we’ll provide a full refund as an exception to our cancellation and no-show policies.

6. Late Arrivals & No-Shows

Walking Tours, Including Food Tours

Please arrive at the meeting point 5 minutes before the tour starts. Tours depart on time. We do not wait for late arrivals or contact them individually.

E-Bike Tours

Please arrive at the meeting point 15 minutes before the tour starts to allow time for bike fitting and preparation. Tours depart on time.

If you arrive more than 10 minutes after the scheduled tour start time, your booking will be canceled as a no-show without a refund.

Private Tours

Please arrive on time. Guides will wait no more than 10 minutes after the scheduled start time.

If you arrive more than 10 minutes late, your booking will be canceled as a no-show.

For all tours and experiences, please follow the arrival instructions provided with your booking. The cancellation and refund conditions above apply.

7. Weather

Outdoor tours generally go ahead in bad weather, including extreme heat or cold. Please check the weather forecast well in advance and come prepared for the conditions.

If Kyoto Localized cancels a paid tour before it starts, the refund conditions in Section 4 apply.

8. Early Departures & Shortened Tours

For paid tours, private tours, and paid experiences, no refunds are provided if you leave early or the tour or experience is cut short after it has started.

9. Liability & Responsibility

By joining a tour or experience, you agree to participate at your own risk and take responsibility for your safety and belongings.

Kyoto Localized accepts no liability whatsoever for any injuries, accidents, theft, or loss occurring during the tour or experience.

10. Privacy

We use your personal information to manage bookings, respond to inquiries, and improve our tours and experiences.

With your consent, we may also send you tour updates and offers by email. You can unsubscribe from marketing emails at any time.

We do not sell your personal information to third parties.

11. E-Bike Tour Additional Terms

The following additional conditions apply to all Kyoto Localized e-bike tours.

11.1. Eligibility

Participants must be at least 10 years old, at least 145 cm tall (approximately 4 ft 9 in), and weigh less than 120 kg (approximately 265 lb).

11.2. Cycling Ability

You should be comfortable and confident riding a bicycle. The tour may be difficult if you have little or no cycling experience.

You must be able to control the e-bike safely throughout the tour.

11.3. Safety Instructions & Traffic Rules

You must follow the guide’s safety instructions and Japan’s traffic rules.

If the guide determines that your riding is unsafe or that you are not following safety instructions, we may refuse or end your participation in the tour. In this case, no refund will be provided.

11.4. Alcohol

Riding a bicycle under the influence of alcohol is prohibited by law in Japan. If you have consumed alcohol before or during the tour, you will not be allowed to ride or continue the tour, and no refund will be provided.

11.5. Health & Pregnancy

If you are pregnant or have a medical condition, injury, or other health concern that could affect your ability to ride an e-bike safely, we recommend that you do not join the tour.

You are responsible for deciding whether you are physically able to participate safely.

If you choose not to participate because of pregnancy or a health-related concern, no refund will be provided.

11.6. Insurance

The tour does not include insurance covering your own injuries, accidents, or medical expenses. Please make sure you have your own appropriate insurance coverage before joining the tour.

11.7. Intentional Damage to Equipment

If you intentionally damage or misuse an e-bike or other equipment, you may be responsible for the cost of repair or replacement.
